Combine Cards, Accounts, & Items

Background

As you enter in data into AccountEdge and the years progress you will sometimes find that you accumulate extra cards and accounts. These could be old Accounts that are no longer in use or Customer Cards you've entered them multiple times by mistake. If there are any transactions tied to these Cards or Accounts you cannot just outright delete them (until this information is purged). By combining Cards or Accounts you can merge these two types of records and keep any transactional history intact on the Card or Account you choose to keep.

Combine Accounts

You can only combine accounts that are: 

  • Local currency accounts
  • Accounts of the same account type (for example, asset and expense accounts cannot be combined), and
  • Detail accounts

Accounts you cannot combine:

  • Header accounts
  • Accounts that are linked to other accounts

To Combine two Accounts:

  1. Go to the Accounts command center and click Accounts List
  2. Select the primary account. This is the account that the secondary account’s transaction history and opening balance will be transferred to.
  3. Click Combine Accounts. The primary account appears under the Primary - Move all transactions to list. If necessary, you can choose another primary account from the list.
  4. Select the secondary account from the Secondary - Remove all transactions from list
CAUTION : The next action cannot be undone
Before continuing, check that you’ve selected the correct accounts to be combined. If you combine the wrong accounts, you will have to restore from a backup and re-enter transactions posted to the accounts since the backup.
  1. Click Combine Accounts
  2. When the next window appears, click OK to confirm you want to combine the two accounts

Combine Cards

Cards you can combine:

  • Customer cards
  • Vendor cards
  • Personal cards

Cards you cannot combine:

  • Employee cards
  • Cards of different types
  • Cards with different currencies
  • Cards if the primary card is inactive

To Combine two Cards:

  1. Go to the Card File command center and click Cards List. The Cards List window appears.
  2. Select the primary card.
  3. Click Combine Cards. The Combine Cards window appears. The primary card appears under the Primary - Move all transactions to list. If necessary, you can choose another primary card from the list.
  4. Select the secondary card from the Secondary - Remove all transactions from list.

Combine Items

Items you cannot combine:

  • Items that are Inactive
  • Items that have different settings in the Profile of the item (ie: Both items have to have the same "I Buy", "I Sell", "I Inventory", and "I Track Serial Numbers for This Item" settings)

To Combine two Items:

  1. Go to the Inventory command center and click Items List. The Items List window appears.
  2. Select the primary item (the one you are keeping)
  3. Click Combine Items. The Combine Items window appears. The primary items appears under the Primary - Move all transactions to list. If necessary, you can choose another primary Item from the list.
  4. Select the secondary Item from the Secondary - Remove all transactions from list.
    NOTE : The next action cannot be undone

  5. Click Combine Items.
