Void a Check Transaction

Note: The US version of AccountEdge shows the word "check". The Canadian version of AccountEdge shows the word "cheque". This article will reference check. Your program will display one word or the other depending on your version.

Background

If you find that one of your check forms is damaged, or you have made a mistake when writing the check manually, or the check has never cleared and you've stopped payment, you may want to void a check.

Voiding Checks that Have Already Been Recorded

AccountEdge 2015 and Later

Beginning with AccountEdge 2015 for you have the option to void already recorded checks. To do this:

  1. Go to Banking and click on the "Bank Register" button
  2. Choose the correct Account Number from the dropdown at the top of this window and put in an appropriate date range
  3. Click the arrow next to the check you wish to void
  4. Go to "Edit" from the menu bar at the top of the screen and choose "Void Check"
  5. You will receive a message that asks you to "Click OK if you wish to void check #" - click "OK"

All the amounts in the check will be set to zero and a VOID stamp will appear on the check. When you void a check it will automatically be checked off to be reconciled in the Reconcile Accounts window.

Voiding Checks that Have Not Yet Been Recorded

AccountEdge 2015 and Later

Starting with AccountEdge 2015 for there is the new possible way to void a check that you have not recorded in AccountEdge. This can be done from a few different screens:

Through Spend Money

  1. Go to Banking and click the "Spend Money" button
  2. Enter in the check number that you want to void
  3. If desired you can attach a card and change the date of the voided check (this is optional)
  4. Go to "Edit" at the top of the screen and choose "Void Check"
  5. You will receive the message "Click okay if you wish to void Check #" - click "OK"

Through Pay Bills

  1. Go to Purchases and click the "Pay Bills" button
  2. Select a vendor
  3. Enter in the check number that you want to void
  4. If desired you can change the date of the voided check (this is optional)
  5. Go to "Edit" at the top of the screen and choose "Void Check"
  6. You will receive the message "Click okay if you wish to void Check #" - click "OK"

Through the Bank Register

  1. Go to Banking and click the "Bank Register" button
  2. At the bottom of the window, below your register of checks is the quick entry section
  3. Change the type to either Spend Money or Pay Bill
  4. Enter in the check number you want to void
  5. If desired you can change the date of the voided check and attach a card (this is optional)
  6. Go to "Edit" at the top of the screen and choose "Void Check"
  7. You will receive the message "Click okay if you wish to void Check #" - click "OK"

Pre-AccountEdge 2015

Previous to AccountEdge 2015 voiding a previously recorded check was a two step process:

  1. Go to Banking and click on the "Bank Register" button
  2. Choose the correct Account Number from the dropdown at the top of this window and put in an appropriate date range
  3. Click the arrow next to the check you wish to void
  4. Go to "Edit" from the menu bar at the top of the screen and choose "Delete Check Transaction" or "Delete Payment" (if it is a Pay Bill)

After doing this the check will be removed from the system entirely. Next you have to record the check to show it as void:

  1. Go to the Banking command center and click Spend Money
  2. Choose the checking account from which you want to void the check
  3. In the Check # field, type the number of the check you want to void
  4. Leave the Amount and account allocation fields blank
  5. Click Record, then click OK to confirm that you want to void the check
