Manage Your Company Files

As of December 3rd 2025, AccountEdge subscriptions will include 10 company files. This will allow each user to create up to 10 AccountEdge company files per subscription serial number. Additional company files can be added to your subscription for $10/file/month via My Account.
Assign a Serial Number to your Company File
AccountEdge Company Files must now be assigned to your AccountEdge Serial Number.
If you do not assign your company file to a serial number, you can only open the file as ‘read-only’. You can view your history and run a report, but you can’t enter any new transactions or make adjusting entries.
Existing Company File
If you have an AccountEdge Company File created before December 1st 2025, you will be prompted to assign your company file to your AccountEdge Serial Number when you open it in AccountEdge.
If AccountEdge is registered on your computer, the system will auto-fill your registration serial number for assignment.
Click Assign Serial Number to complete the process.

New Company File
When creating a new file with the New Company File Assistant, you will need to enter your 12-digit serial number to assign the file to your AccountEdge Subscription.
When you assign your company file, it will take up one of your available files.

Transfer Company File to New Serial Number
If you ever need to transfer your AccountEdge Company File to a new serial number, you can transfer your file using the Manage Company File Serial Number window. You can access this window from Setup>Company Information and select the Transfer Serial Number button.

In the Manage Company File Serial Number window, enter the New Serial Number you want to assign to the company file, replacing the existing Serial Number, and select the Transfer Serial Number button.
Add Additional Company Files
Every AccountEdge subscription includes 10 company files; if you need more, you can purchase additional files online via My Account for $10/file/month.
Find your AccountEdge product and click the Manage Subscription button. Click on your AccountEdge subscription stream on the left column and enter how many additional files you want to add to your account.
NOTE: AccountEdge Partners will click Manage Subscription next to their partner plan to add additional company files.
FAQs
- Is there a maximum number of company files that can be assigned to a serial number?
- Ten (10) company files are included in your AccountEdge subscription; more can be added online via My Account for $10/file/month. There is no limit to the number of files that can be added.
- What is the new Company File ID?
- A unique identifier tied to the serial number, which is used when using My Account to activate or deactivate a serial number.
- Do backup files count against my Active Company Files?
- AccountEdge Company File Backups will not count towards your company file count.
- What happens if a company file is not assigned to a valid serial number?
- If your company file is not assigned to a serial number, the file will go into read-only mode.
- Can I remove company files I'm being billed for but no longer need?
- Yes, you can unassign your company files from within the file itself and online via My Account.

Error Messages
E1: Subscription Expired
If your AccountEdge subscription plan is expired, you will receive the error message “Serial Number 123456789123 does not have an active subscription (E1: Subscription Expired).
You will need to log in to the online My Account to update your subscription or open the file in read-only mode.
E2: Maximum Company Files
If you have reached your limit for company files, you will receive the error message “Serial Number 123456789123 has reached its maximum Company File limit (E2: Maximum Company Files).
You will need to log in to the online My Account to add additional company files to your AccountEdge subscription for $10/file/month.
E3: Unknown Error
Typically displayed when a Company File cannot be assigned, so the file will be available in read-only mode until the assignment can be made.
Information for AccountEdge Partners
There are two scenarios that most partners will fall into. The following examples will help illustrate how you will now manage your clients and/or their files going forward.
Scenario 1: Your client owns AccountEdge and handles their day-to-day bookkeeping.
- Butter Cup Bakery has an AccountEdge subscription and manages its own books.
- Their company file is assigned to their AccountEdge serial number and counted against their number of available files.
- They can send their file to their AccountEdge Partner without affecting their Partner’s available file count.
Scenario 2: Your client does not own AccountEdge, and you manage their day-to-day bookkeeping.
- Little Lantern Co. does not have an AccountEdge subscription; their partner manages their books.
- The company file for this client would be assigned to the AccountEdge Partner and will be counted towards the partner’s available file count.
- The file can be transferred and assigned to Little Lantern Co.’s serial number if they subscribe to their own AccountEdge Plan.
