Preparing T4 and RL-1 Slips

T4 Changes - For Filing 2023 T4’s:

  • Box 45 - Employer offered dental benefits - Users will need to select the Box 45 setting on the employee card. 
  • Box 16a - Employee’s second CPP Contributions (blank for reporting on 2023 payroll)
  • Box 17a - Employee’s second QPP contributions (blank for reporting on 2023 payroll)
  • Updated T4 forms have been added to Printed Slips and new fields have been added to the Electronic T4s.
     

Generating T4s

Generally, you need to complete a T4 slip if you are an employer and you paid your employees employment income, commissions, taxable allowances and benefits, fishing income, or any other remuneration.

If you file more than 50 T4 slips for a calendar year, you must file the return over the Internet.

  1. Click into the Payroll command center.
  2. Click Prepare Payroll Tax Forms.
  3. In the upper right corner select the Form T4 Slip.
    • Depending on how you wish to submit your T4 your can choose T4 Slip (Printed) or T4 Slip (Electronic)
  4. Select your Payroll Year.
  5. Then enter or confirm, the Employer ID or BN.
  6. On the lower left side of this window you will see a list of T4 boxes. If you need to assign any payroll categories to any of these boxes, select the box and then on the right side check off the payroll categories that should be included.
  7. If you selected electronic:
    • Click Next, and fill-in the required information.
    • Click Next, and fill-in the required information.
    • Select the employees for which T4 slips are to be generated.
    • Click Create File to generate the XML file that is to be uploaded to the CRA web site; once the file is created, the CRA web site will be opened in your web browser.
  8. If you selected printed:
    • Click Next and check off the employees for which T4 slips are to be printed.
    • If you need to change the type of form that T4s are printed on click Advanced Filters. At the bottom of this window the "Selected Form for T4 Slip" is the form that the T4s will print on. This form tells the printer where to print each field. You can choose to print the form on plain paper or on a pre-printed form. If you need to you can select another form or use the "Customize" button to customize the selected form. Click OK to close the Advanced Filters window when you are done.
    • Click Print when you are ready to print the T4s.

Note Regarding E-Filing T-4s 

The first time you efile T4s with the CRA, you will need to put the code MM000000 (MM + 6 zeros) into the Transmitter Number field. When the CRA receives your first T4 transmission, they will issue you a new Transmitter Number. When you receive your new CRA Transmitter Number, replace the 'MM000000' code with your new number for next year. If you want to get a Transmitter Number now, call the CRA at 1-800-665-5164.

Exempt Employees 

To set an employee’s status as exempt you must go through “Prepare Payroll Tax Forms” with T4 Slip selected until you get to the window “Review T4 Slips Before Filing” where you see the list of employees and their SIN number, double click on an employee and a window will pop up with that employee’s T4 information. In the upper right area of this window there are check boxes for exemption status.

Generating RL-1s

AccountEdge can generate the information for printed RL-1 forms. AccountEdge only fills in the boxes for pre-printed RL-1 forms - it does not generate the forms themselves.

To print RL-1s:

  1. From the Payroll command center click Prepare Payroll Forms
  2. In the Upper Right corner of the screen select RL-1 Slip (Printed)
  3. In the lower part of this window select the RL-1 box on the left hand side and then check off the payroll categories on the right hand side you want to map into that box. When finished select Next
  4. Fill-in the required information. Click Next.
  5. Check off any employees you want to print and then click Print
  6. If you need to change the type of form that RL-1s are printed on click Advanced Filters. At the bottom of this window the "Selected Form for RL-1 Slip" is the form that the RL-1 Slips will print on. This form tells the printer where to print each field. If you need to you can select another form or use the "Customize" button to customize the selected form. Click OK to close the Advanced Filters window when you are done.
  7. Click Print when you aready to print the RL-1 Slips.
